Who’s in charge here …
Behind every great club, there are officers who work very hard with the club
members to make it that way! Arboretum Toastmasters officers are elected
for six-month terms. Elections are held in May and November with officer terms
beginning on first of July and January, respectively.
Below is the list of officers serving the club for the Spring
2008 term:
Each officer has specific duties and
responsibilities. A summary of the various officer's duties is given below.
President:
The President has the responsibility of providing overall leadership for the
club. His or her specific duties and responsibilities include:
- Open Club Meetings whenever present, and
delegate another officer when absent.
- Develop a Club Success Plan along with other
officers and establish specific club goals for the term.
- Serve as a liaison with Toastmasters
International, the area, division, district and regional officials for all
Toastmasters activities
- Call regular officers' meeting and preside over
those meetings.
- Ensure club remains healthy, vibrant and
successful.
VP, Education:
The Vice-President of Education has the responsibility of ensuring that every
member get the necessary support for achieving their personal communications and
leadership goals. His or her specific duties and responsibilities include:
- Ensure members sign-up for different roles at
meetings, and keep track of the sign-up sheet.
- Assist the Toastmaster to get volunteers to fill
up vacant roles.
- Help each new member establish his or her
educational goals at the club, and find mentors for new members when
necessary.
- Periodically review personal communications and
leadership goals with each member.
- Keep track of each members progress toward CTM,
ATM, CL, etc.
- Keep the club informed of Toastmasters
educational activities.
- Conduct club contests to select who will
represent the club at the area contest.
VP, Membership:
The Vice-President of Membership has the responsibility of building and
maintaining the club membership. His or her specific duties and
responsibilities include:
- Ensure that every guest gets all the information
he or she needs about club membership.
- Follow up through telephone calls, cards,
e-mails, etc. with guests encouraging them to come back as guests and/or
become club members.
- Collect Membership applications and dues from
new members are pass it to the Treasurer.
- Continuously update the membership
roster.
- Maintain and continuously update the e-groups
e-mail account at arboretumtm@egroups.com
- Ensure that the club meets its membership goals
by implementing appropriate promotional programs within the club.
VP,
Public Relations: The Vice President of Public Relations has the
responsibility of enhancing the visibility of the club within the area in order
to attract new members. His or her specific duties and responsibilities
include:
- Prepare promotional brochures for the club, and
make sure they are distributed to prospective members through various
channels.
- Maintain the club web-site.
- Prepare and issue periodic club newsletters.
- Lead the club's promotional campaigns to
increase membership and visibility.
Secretary/Treasurer:
The Secretary and Treasurer has the responsibilities of maintaining all official
club documents and handling the money-matters for the club. His or her
specific duties and responsibilities include:
- Prepare minutes during officer's meeting and
distribute it to all club members.
- Collect dues from all existing and new members,
and deposit them in the club account.
- Prepare receipts as and when requested.
- Make payments to Toastmaster
International as and when required.
- Be the signatory on all club checks.
- Send new member applications to Toastmasters
International
Sergeant-at-Arms:
The Sergeant-at-Arms has the responsibility of ensuring the club meeting rooms
are set-up for all meetings.
- Set-up the meeting room by placing the flags and
banners at the appropriate place.
- Ensure that the necessary audio-visual equipment
is available to the speakers when requested.
- Be the custodian of the club cart that contains
all club materials.
- Ensure that guest sign-up sheet and brochures
are always available at the meeting room.
While these are the various officer roles with the
club, leadership opportunities for members are not limited to these roles.
Since Arboretum Toastmasters is part of a huge organization, there is tremendous
opportunities to take on leadership roles at various levels beyond the
club. Toastmasters International has over sixty clubs in Austin. There are over
8,000 clubs nationwide and over 70,000 clubs worldwide! As an international
organization, Toastmasters has leadership at several levels.
The Toastmasters organizational chart puts the individual member at the top
because we consider the member to be the most important. All of the levels in
Toastmasters are designed to support and develop the individual member.
